Let me tell you the tale of changing one of my best friend’s (work) life…

It was a typically humid day on Koh Lanta, the Thai island where my friends and I were staying on holiday. The blue sky and Andaman Sea beckoned outside the floor to ceiling windows, while Bill and I picked at our eggs and sipped cappuccinos. 

Bill was detailing the many unsavory tasks required to make the admin sausage for his company.

You see Bill has a very cool business. He produces concert theatre pieces all over the world. 

Like you, Bill is no stranger to hard work. He’s willing to put in the hours.

And like gyms, arts organizations don’t have lavish budgets.

So Bill was doing many tedious admin tasks.

While they may have been boring, they were still mission critical: reaching out to contacts as various orchestras, formatting professional-looking newsletters, managing budget stuff… all things that NEEDED to be done well.

That’s when I said…

“We need to get you a Joy, Bill.”

Joy, for those not in the know, is my swiss army knife sidekick. She’s kind of like Batman’s Alfred and Iron Man’s Jarvis rolled into one.

Below is a VERY incomplete list of things Joy handles for me:

  • Oversees HR
  • Runs payroll
  • Coordinates with our bookkeeper
  • Manages 401k admin work
  • Sorts  receipts
  • Handles bi-monthly Profit First transfers
  • Researches and interviews vendors for professional and personal services
  • Handles my travel booking (using a hilariously detailed SOP for things like preferred airlines, timings, seating, etc.)
  • Takes on special projects as needed, like arranging MFF’s year end dinner or managing software changeover
  • Manages my tenant in my house upstate
  • Prepares the 1st draft of slide decks
  • Finds me Task Rabbits to manage small home projects
  • Calls insurance to get me reimbursements
  • Makes charity donations at my request

Basically, she does almost anything I don’t need to do, with a big fat emphasis on “things I don’t like to do that suck out my will to live.

In Bill’s case, I did something I’ve never done before and will likely never do again:

I actually put him in touch with Joy. 

And his work life is better/easier.

We now routinely toast her brilliance over Martinis in our NYC cocktail club.

The bad news is I can’t share Joy with all of you.

However, you CAN use this play.

Besides what’s listed above, a qualified EA could manage your gym’s social media, help with lead follow-up, answer member emails, update memberships in your booking software, or any other number of important but tedious tasks that also require some judgement.

There are executive assistant agencies that can source amazing fractional support. They’ll bill you to the minute. So even if you’re paying more per hour, you’re getting amazing value. AND you can control costs very easily.

Almost all gym owners have 5 or more hours per week of tasks that could be delegated nearly IMMEDIATELY.

You can’t have MY Joy, alas.

But you should get A Joy.
